Position Title: Receptionist/Accounts Receivable

Location: Mississauga (Courtney Park & Dixie)

Shift: Monday to Friday 8am – 4:30pm

Position Summary

The Receptionist will also be responsible for minor housekeeping of the office such as ordering office supplies, managing the uniforms for service technicians and production team, and ensuring supplies are stocked throughout the office. Reporting to the Accounting Manager, the Receptionist is responsible for screening all incoming guests in person and routing all incoming calls and mail. Additionally, this role is responsible for assisting with accounts receivable by following up on client invoices and will also assist with scheduling by planning service calls and sending reminders to clients.

Position Responsibilities

• Meet and greet all incoming guests/customers in a friendly and professional manner
• Answer phone calls in a timely manner
• Manage voicemail and direct messages to the appropriate individuals
• Update holiday greetings for customers
• Ensure staff change phone messages with holiday greetings or when out of the office, as appropriate
• Monitor visitor sign-ins and ensure visitors are directed to the appropriate individuals
• Receive and distribute mail as needed
• Order all office supplies
• Ordering Uniforms from Supplier for Technicians

Accounts Receivable
• Assist with sending invoices to customers for payments and collections
• Assist with customer inquiries regarding invoices/payments
• Direct Deposits Daily

• Assist Maintenance Scheduler with confirming service activity appointments
• Pre-booking customer appointments for the completion of service work

• Follow up with customers on open service quotations
• Order and manage Technicians’ and production staff uniforms from supplier, as needed
• Stocking up office supplies
• Other duties as assigned

Qualifications & Skills
• Post-Secondary education in Business Administration is preferred
• 1 to 3 years’ experience in Reception or Administration required
• Strong knowledge of Microsoft Suite (Outlook and Word)
• Superior communication skills, both written and verbal
• Excellent customer service skills
• Strong interpersonal skills
• Ability to effectively manage multiple competing priorities
• High attention to detail
